Pastoral Assistants

We are seeking an experienced and highly organized individual to serve as the Pastoral Assistant to the Senior Pastor. This position is crucial in providing administrative and pastoral support to our esteemed leader, ensuring smooth operations, and contributing to the overall effectiveness of our ministry. The successful candidate will be detail-oriented, discreet, and capable of managing various tasks in a dynamic and fast-paced environment.

Responsibilities:

  • Manage the Senior Pastor’s schedule, appointments, and travel arrangements.
  • Handle correspondence, emails, and phone calls, ensuring prompt and appropriate responses.
  • Serve as a point of contact between the Senior Pastor and internal/external stakeholders.
  • Draft, edit, and proofread official communications, sermons, and correspondence.
  • Organize and coordinate events, conferences, and meetings attended or hosted by the Senior Pastor.
  • Ensure logistical details are meticulously arranged, including venue bookings, travel arrangements, and catering.
  • Maintain confidentiality and discretion in handling sensitive information.
  • Create and manage filing systems, databases, and archives related to the Senior Pastor’s office.
  • Provide briefing materials and summaries for meetings and events.
  • Prioritize tasks and deadlines to ensure the Senior Pastor’s time is utilized efficiently.
  • Anticipate needs and proactively address issues to enhance productivity.
  • Collaborate with other administrative staff and department heads to facilitate effective communication and coordination.
  • Act as a bridge between the Senior Pastor and various departments within the ministry.
  • Ensure the Senior Pastor is briefed on and adheres to protocol and etiquette guidelines during official engagements.
  • Facilitate a positive and professional image for the Senior Pastor and the ministry.
  • Assist with technology-related tasks, including managing electronic devices, coordinating virtual meetings, and troubleshooting technical issues.
  • Provide general support to the Senior Pastor in whatever capacity is necessary for the smooth functioning of his office.
  • Handle personal tasks and requests with a high level of professionalism and discretion.

Qualifications and Skills:

  • Proven experience as an executive assistant or personal assistant.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in office software and communication tools.
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Skillful in one or more of the following areas: IT, accounting, media, music, facility management, or video editing.
